The Pivotal Analytics (PA) module offers a different way to work with all the data you collect while running your business. In addition to working with flat reports in Query Data, you can use the PA screen which allows you to analyse data on multiple levels.

The PA screen

Go to Dashboards > Pivotal Analitycs to open the screen. In this screen, use the drop-down menu to access the list of prebuilt PA reports or the New Report NewReport button to create a custom PA report from scratch.


The PA report overview

When working with reports in the PA screen, you can use the below functions to return and analyse the data that interests you:


  • Values: this is the data that you are analysing in the report.
  • Vertical (columns): use this button to group values into columns by a specific measure. 
  • Horizontal (rows): use this button to group values into rows by a specific measure.
  • Filters: use this button to filter out information that you currently don't need to be displayed in the report.
  • Modify: allows you to adjust the report by adding your own values, columns, rows and filters.
  • Rebuild: use this button to refresh the report to display up-to-date data.
  • Export: allows you to export the report into an MS Excel (.xlsx) file.

Values Values

The report values represent the data that you are analysing. You can include more than one value, as each value is contained within its own column.

PA values

Click the Values Values button and tick values that you would like to include. For example, on the screenshot below we've selected order count, subtotal, total and refund amount to have these values in the report. Once selected, click Apply.

Vertical Vertical (columns)

This button allows you to group values into columns by a specific measure. For example, for the order count value, you can select order dates as a column to group all your orders by date.


Click the Vertical Vertical button and tick columns you would like to add. You can split columns into sub-columns which allows you to expand the report to break further down into a single measure.

For example, adding a year, a month, and a day to your order dates column lets you focus on specific days in the year.

Horizontal Horizontal (rows)

This button allows you to group values into rows by a specific measure. For example, if you've selected order count as a value for your report, selecting the order channel as a row lets you group all your orders by the selling channel.


Click the Horizontal Horizontal button and tick rows you would like to add to the report. Similar to columns, you can split rows into sub-rows.

For example, you can have a channel selected as the main row and a sub source added as the sub-row to see which channel integrations specifically orders are from.

This button allows you to thin out your reports by removing any data that you're not interested in reporting.


Modifying a report

Use the Modify Modify button when you need to customize the report and add your own values, columns, rows or apply some specific filters.


Rebuilding a report

When you generate a report in the PA screen, the system takes a snapshot of the data it needs and keeps a copy of it. This way you can work on the reports and manipulate data without slowing down the rest of the system. 

To keep the data of the report up-to-date, you can rebuild it by clicking the Rebuild Rebuild button to get the latest data from your Linnworks database. This ensures all your latest orders and stock movements are included in the report you are working with.


You can always see the indication in the top right-hand corner of the screen if the report needs to be rebuilt.


Exporting data

Once you've configured a report to display the necessary data, you can export the results into a MS Excel (.xlsx) file by clicking the Export Export v2 button.


Info! The exported file will be structured exactly how the report is configured in the PA screen, with any expanded columns and rows.

Prebuilt PA reports

In the PA screen, there is a range of prebuilt reports for you to run. You can further customise these reports and add your own values, columns, rows and filters. Please see the prebuilt reports that are currently available:

  • Orders by channel
  • Product sales by month
  • Product sales by month (composites)
  • Returns by month and channel
  • Shipping service by country
  • Currency conversions
  • Sales by hour
  • Inventory - overtime
  • Inventory - consumption report
  • Purchase orders
  • Purchase order items
  • Stock movement report
  • Inventory - consumption over X days

Custom PA reports

If the prebuilt report doesn't offer the results you're looking for, you can create a new custom report and configure it to return the data you need.
