Amazon Channel Integration Settings

Linnworks integration has multiple settings that allow detailed control of how Linnworks interacts with Amazon. This guide will help you to configure your Amazon to make sure Linnworks is doing what is required.

Once the channel is added click on the pen icon in the channel integration screen for the required Amazon integration.


 Available for the configuration options:


  • Enabled: Tick this option to allow communication between Linnworks an Amazon, without this ticked no information will be sent to Amazon or received from Amazon.
  • Seller Id: your Amazon Seller ID, found on the Amazon MWS page.
  • Marketplace: your country-specific Amazon Marketplace for orders.
  • Test: click to confirm the supplied credentials work correctly allowing communication between Amazon and Linnworks.

  • Enabled: enable this checkbox to tell us that you are using Amazon's Vat Calculation Service.
  • Use Channel Tax: toggled by above setting. When ticked - Linnworks will use tax values calculated by Amazon during order download. This only applies to sellers enrolled in Amazon's VAT Calculation Service
  • VCS Self-Invoice Upload: you must be enrolled into VCS self-invoicing; Enable invoice & credit notes to be automatically uploaded to Amazon for Vat Calculation Sevice.
  • VCS Invoice Upload (EU) Activation Date: please let us know the activation date you have set for self-invoicing, we will begin to upload invoices from this date.
  • VCS Self-Invoice Template: first you would need to set up Amazon VCS (VAT Calculation Service) template(s) in Linnworks Template Designer. All the templates will be available for the selection in the drop-down menu, the template you will select will be used for uploads to this site.
  • Invoice Document Upload (EU): This setting depends on if you are using VCS or not, if you are using VCS/TCS invoices are either generated by Amazon or the Self-Invoice Upload needs to be enabled above.
  • Ignore Facilitator Tax: This setting will ignore marketplace facilitator taxes when calculating order totals and not using VCS.

  • Despatch notes: after processing the order in Linnworks a despatch notification, Tracking number (if available) and the selected Shipping Vendor will be submitted to the channel. When the option is disabled, no despatch information will be submitted to Amazon. Information regarding despatch is stored in the Audit Trail. For Amazon, the following information may be shown:
    • No Despatch required: this is shown if despatch notes are disabled.
    • Order Despatch Submitted: added to the audit trail when a despatch note is sent.
    • Order Successfully Despatched: added when Amazon has confirmed the despatch request was accepted.
    • Order Despatch Failed: this is shown with a reason for the failure if a despatch note failed to send. Linnworks will attempt to resend the despatch note for the next 24 hours.
    • Despatch Rejected: this can be added if the channel has been deleted or has been disabled.
  • Send Location On Despatch: If enabled, Linnworks will submit the address of the Linnworks Location in which the order was processed to Amazon together with the Despatch notes.
    If Address Line 1 and Country are not specified for the processing location, or the setting is disabled, Amazon will use the default address on their file. 
    This setting is enabled by default.
    NB! Despatch Notes must be enabled for the Send Location On Despatch setting to be applied.
  • Order Cancellations: enable cancellations to be actioned on Amazon.
  • Order Refunds: If enabled a refund that is actioned in Linnworks, will create a new refund and process it on Amazon.
    • Linnworks will make up to 5 attempts to submit a refund request to Amazon; this information will once again be stored in the Audit Trail of the order.
    • When a full order is refunded, the Amazon order is cancelled, and the refund is created and processed on Amazon.
    • If the order has been partially refunded, then the item itself is cancelled, and the customer is refunded for the cancelled items only.
  • Not Disclosed Default Email: Amazon does not disclose customer's email addresses, and will often hide proxy email addresses as well. If an email address is available, Linnworks will use it, but this may involve a delay of up to 1 hour on a new order. If the email address is not specified, then the email field will contain the text: 'NOT DISCLOSED BY AMAZON'. If you enter an alternate email address here to replace that text, errors will not be caused if using Linnworks' Email Notification functionality.
  • Order sync date [UTC]: the date and time of the most recently updated order that was amended in Linnworks during the last channel synchronisation.
  • Order Received UTC offset: changes the 'Order Received Date' logged against the Linnworks order by the value provided, in hours.


  • Update inventory: allow Linnworks to submit changes in-stock level to Amazon. Linnworks supports multiple stock locations for additional warehouses/ fulfilment centres/suppliers. Ensure you set which Linnworks locations are used when submitting changes in-stock level to Amazon via the Location Mapping screen accessed from the main Channel Integration screen.
Quantity is a global value in relationship with a SKU, so changes to stock levels are reflected in all marketplaces that the SKU is active in. If multiple inventory feeds are processed for the same SKU in different marketplaces, then the quantity of the last uploaded inventory feed from the seller reflects the global inventory level. Setting the item inventory level to 0 effectively sets the item quantity to 0 in all marketplaces and makes the item non-buyable. All listing information is still maintained in the system.   • Max Listed: This specifies the maximum level that will be sent to the channel
  • Stock Percentage: This will send a percentage of the currently available stock level to the sales channel
  • End When: This enables you to force the listing to end when the stock level gets to the specified amount as opposed to the default value of zero

  • Default Latency: this setting allows you to set latency (Amazon definition: The number of days between the order date and the ship date - a whole number between 1 and 30) for all items on this channel that are linked to Linnworks inventory items.
    • When latency is set to above 0, the shipping time (days) for all linked listings on the channel will be updated to reflect this delay.
    • If Latency is set for the channel (value is above 0), but you are also using the Product Based Latency setting, the product-based value will take priority over the channel default value.
    • If latency is not set for the channel (value is 0) and you are not using the Product Based Latency setting, no value will be submitted by Linnworks, and the default value defined on Amazon will be used to update the listing.
    • Latency values are submitted to Amazon during inventory level update syncs.
  • Product Based Latencythis setting allows you to set latency (See Default Latency) for each product individually as an Extended Property.
    • If product based latency is not added as an EP for an item, Linnworks will look at the Default Latency value. If the default value is above 0, the default value is submitted to Amazon. If the default value is not set (value is 0), no value is submitted by Linnworks, and the default value defined on Amazon will be used to update the listing.

    • Latency values are submitted to Amazon during inventory level update syncs.
  • Inventory Sync Date: date of the last inventory update. 


  • Download Full Listings: important for Extract Inventory tool, allows downloading full information for the listings, including a description.

FBA new

  • Enabled: Tick this option to enable Amazon FBA.
  • Inventory Sync Enabled: track changes made by Amazon to inventory in FBA (Update the Linnworks location). Disable the ‘FBA Inventory Sync Enabled’ for every channel except for the channel that controls the main FBA location that all your orders will be fulfilled from.
  • Use Detailed FBA availability level: This option enables Linnworks to use a more detailed FBA report from Amazon to update the stock availability in Linnworks. NB! The setting is available only for North America marketplaces (US, CA, MX).
  • Send Declared Value: this option will instruct Linnworks to send the total value of the order to Amazon when an order for a non-FBA listing is exported. This value will be sent using the currency the order was placed in.
  • Convert Currency: this option will change the currency of the declared value from its original currency to the currency that FBA is expecting. Linnworks simply swaps the currency code and does not change the value at all in accordance with exchange rates.
  • Fulfillment Location: the name of the auto-generated Linnworks Location for managing FBA orders and inventory.

  • Price ChangePrice Change is designed to speed up the process of updating the sales channel once a Linnworks stock item has had its listing price updated and saved. For more details, go to the Price Change guide.


  • Listings download in progress: this tick box will tick itself if a Listing Update has begun.
  • Listing download start time: this will show the date and time of when the update has started.
  • Last listing download completion time: the time when last listing download was completed (launched via "Download listings" button).
  • Listing download estimated completion: the estimated time the currently running listing download will finish.
  • Download Listings: click on this button to force Linnworks to request an update from the channel for your active listings.


  • Report Status. Click the Report Status button to view the current status of reports requested from Amazon. The view will display the report type, the last time it was requested and the current status. The status' are:
    • Submitted: Linnworks has submitted a request for a report.
    • Available: the report is available from Amazon, and Linnworks will download it soon.
    • Processed: Linnworks has downloaded and processed the report.
